UX and simplification of processes in the accounting application

A Tri-City company producing air quality maintenance devices is implementing an IoT solution on a large scale. The technologically prepared project is to fulfill important functions for product development and building relationships with customers. For this reason, it is a strategic undertaking of the organization and the board took up the topic of creating a service that will convince users to use IoT on a mass scale.
 

However, the biggest difficulty in the whole process turned out to be that someone else buys and assembles the device as part of a larger installation, someone else owns it, and completely different people use the effects of the devices. The search for real value for the user required the use of the design thinking methodology.

Design challenge

How to guide the user through document processing so that he or she completes the tasks correctly and quickly at the acceptance stage.

Process stages

1 / Desk research

Service safari (expert analysis) of the application.

2 / Application UX research

Observations and interviews with users at various levels of documentation flow.

3 / Process analysis

Analysis of the cost documentation circulation process, roles and legal restrictions.

4/ Report with recommendations

Presentation of a summary of analyzes and research.

5/ UX mockups

Interactive application mockup containing process simplifications and UX solutions.

6/ Tests and consultations

Applying corrections to the prototype.

6/ Production implementation

Collaboration with developers on the optimal use of the Bootstrap framework

Changes applied

Menu - separation of navigation from action buttons, easy-to-use search engine and filters.


List views showing statuses, changing information hierarchy, action buttons in the table.

Processing documents at various stages - clearing forms of redundant fields, placing key information and required fields to be completed always in the upper part of the view.

  • Removal of redundant action buttons, changing the naming appropriate to the stage of the process.

  • Placing action buttons always in the same place - on a floating menu at the bottom of the screen.

  • Support for users processing documents several times a month by adding suggestions for tasks at each stage of the process.
